Best Practices: Organizing Employee Documents

Purpose

The Document Library works best when you plan its structure before you load documents into it. This article is a short set of habits for keeping categories, documents and assignments tidy as the library grows. The how-to for each action is in Managing the Document Library.

Who can do this: the Employer Administrator, or a user whose custom role grants Documents Library under Company Access.

Plan your categories first

The library ships with four system categories, Agreements, Employee Handbooks, Tax and Compliance Forms and Custom, and you can add your own.

  • Add categories before documents. Decide your grouping up front (for example "Safety Policies", "Equipment Agreements", "State Notices") so every document lands in the right place the first time.
  • Do not try to add to Tax and Compliance Forms. It is system-managed and holds platform-provided documents such as the Form I-9. Put your own compliance documents in a category you create.
  • Use the built-in templates where they fit. Adding a document under Agreements or Employee Handbooks offers pre-filled templates you can customize. That is faster and more consistent than starting from a blank upload.

Choose the right document type deliberately

Each document is either Upload Only (read and acknowledge) or Configure and Upload (a form with signature and text fields).

  • Reserve Configure and Upload for documents that need collected input or signatures. A policy that only needs to be read is simpler as Upload Only.
  • On a Configure and Upload document, use the Sender field type for anything UZIO already knows (Employee Full Name, Address, SSN and similar) instead of asking the employee to type it. Fewer errors, and it is pre-filled when assigned.
  • Mark employee fields mandatory only when the document is invalid without them. Over-marking creates friction at signing.
  • If you also need to complete part of the document, set that when you configure it. UZIO routes the document back to you once the employee finishes their part.

Keep assignment targeted

You can assign a document to one employee, multiple employees, or all employees in a class or work location.

  • Assign by class or work location for anything that applies to a whole group (a state-specific notice, a location safety policy) rather than selecting people one by one.
  • Assign individually only for person-specific documents.
  • Assigned documents sit under the employee's Your Action Needed until completed. Targeting the right group keeps that list meaningful instead of cluttered with items that do not apply.

Keep the library current

  • Set expiration dates on documents that expire (licences, certifications, annual acknowledgements). UZIO sends an expiry reminder to the employee and to you as the date approaches. Documents without a date are not tracked.
  • Act on "declined to sign" emails promptly. UZIO tells you when an employee declines to sign electronically; it does not chase them for you.
  • Treat an assigned document as final. If a document needs correcting, add the corrected version and assign that, rather than editing the one already sent.
  • Rename rather than duplicate. Custom categories can be renamed, so tidy a badly named category instead of creating a second one.
