Signing a Document Your Employer Assigned

Purpose

When your employer assigns you a document to sign, everything happens inside UZIO. You open it, your details are already filled in from your profile, and you sign on screen. This article walks through it.

Who can do this: any employee with a UZIO account. You can only see and sign documents assigned to you.

Finding the document

When a document is assigned to you:

  • You get an email telling you a document is waiting.
  • It appears in Your Action Needed on your home page.
  • You can always find it under My Documents, showing as Pending with Employee.

If your employer set a due date, it shows with the document, and an overdue document is marked Past Due.

Signing it

Open My Documents, find the document, and click Edit and Sign.

  1. The document opens. You can zoom and move between pages, and every page shows a Document ID that identifies this copy.
  2. Read it. Fields with your personal details are already filled in — see below.
  3. Click Next at the top. It jumps you to the next field you need to complete, and shows how many are done. Previous steps back.
  4. Fill in any text boxes, tick any checkboxes, and pick any dates.
  5. Click the signature box. The signature canvas opens — Draw your signature, Type it, or Upload an image of it. The consent statement is shown here.
  6. Click Apply. If the document has more signature boxes for you on other pages, they are all filled at once.
  7. Click Submit & Sign.

If something is missing, UZIO tells you what and takes you to it.

Note: Everything you fill in is saved as you go. If you close the browser or run out of time, come back later and your entries and signature are exactly where you left them. The document stays Pending with Employee until you submit.

The details that are already filled in

  • Your name, address and employment details come from your UZIO profile. They are read-only on the document — you cannot type into them.
  • Your SSN is masked on screen.
  • If a detail is wrong, correct it in your UZIO profile, or ask your HR administrator to. Then reopen the document and the corrected value appears. You do not need a new copy.
  • If a detail is missing, the field shows empty. That does not stop you signing, unless your employer marked it as required — in which case the value has to be added to your profile first.
  • Some documents have fields for your employer to complete. You will not see those at all.

After you submit

  • If only your signature was needed, the document moves to Completed, and Download appears in My Documents.
  • If your employer also has to sign, it shows Pending with Employer. Nothing more is needed from you. Once they sign, it moves to Completed and you can download it.
  • The downloaded PDF has everything you filled in and signed at the right positions, the Document ID on every page, and an Audit Trail page at the end recording who sent, viewed and signed it, with dates and times.
  • Click the document's status at any time to see its history.

Signing on your phone

Tap Edit and Sign on the document in the UZIO mobile app. The same experience opens, with your details filled in and the fields in place. Fill it in, sign, and submit exactly as on the web.

Common problems

Can I change the details that are already filled in?

Not on the document — they come from your UZIO profile. Update your profile, or ask your HR administrator to, then reopen the document. The corrected value appears automatically.

Do I have to finish in one sitting?

No. Everything is saved as you go. Come back whenever you like and pick up where you left off.

There are several signature lines. Do I sign each one?

No. Sign once and every signature box meant for you is filled, on every page.

I made a mistake in my signature

Before you submit, click the signature box again, clear it, and sign again. After you submit, contact your HR administrator — a submitted signature is final.

Why can't I download it yet?

Download becomes available once the document is Completed. If it shows Pending with Employer, your employer still has to sign. Nothing is needed from you.

There is no date field. Will the date I signed be recorded?

Yes. If there is no date field for you, UZIO prints the date you signed just below your signature automatically.

A required field is empty and I cannot type in it

That field is filled from your profile, and your profile does not have the value. Add it to your profile, or ask your HR administrator to, then reopen the document.

Is signing electronically binding?

Applying your signature is an agreement to be bound by the document, as set out in the consent shown on the signature canvas. UZIO records a full audit trail — who signed, when, and from what IP address — and that record cannot be altered afterwards. If you are unsure about the content of a document, speak to your HR administrator before you sign.
