Troubleshooting: I Forgot to Clock In or Out

Purpose

You missed a punch. Here is what UZIO does automatically, what you can fix yourself, what your manager has to fix, and how long you have to do it.

Who can do this: Any employee in time tracking. Whether you can add or edit your own entries is an employer setting, so some of the fixes below may route to your manager instead. Corrections work the same way on the web portal and in the UZIO mobile app.

Forgot to clock out

You will usually hear about it before you notice. UZIO flags the entry as Missing Clock Out once it passes your company's threshold, which is 12 hours unless your employer changed it. If your employer configured long-running-entry reminders, you and your manager also get an email, SMS or push alert.

Fix it: open the entry on your timesheet and add the missing clock-out time. Your correction may route to your manager for approval, and they are notified automatically. Your manager can also fix it on your behalf.

Note: While fixing a flagged entry you may see "Since this entry is flagged with a missing clock-out at {time}, your clock-in must occur before that time." The times you are entering conflict with the moment the entry was flagged. Everything on the entry has to fall before the flag time shown in the message, so enter the times you actually worked and the save goes through.

If you cannot start a new shift while an entry is flagged, clear the flagged entry first, or ask your manager to clear it.

Forgot to clock in

If your company allows employees to add time entries, open your timesheet, choose Add Time Entry, enter your actual clock-in and clock-out times or the duration, pick the right shift and job, and add a note explaining what happened. If manual entries route to manager approval at your company, the hours count once your manager approves.

If you cannot add entries yourself, tell your manager. They can create the entry for you.

Forgot to record a break

Where you fix it depends on whether the shift is still running:

  • Still on shift: edit the running entry, using the pencil icon on your time card, and add the break's start and end times.
  • Shift already ended: open the entry on your timesheet, choose Edit, and add the break there.

Either way, if your company routes employee edits through manager approval, the correction takes effect once your manager accepts it. Your manager can also add the break from their side.

How long you have to correct something

Four limits apply, in this order:

  • Approval. Once your manager or employer approves the pay period, your own edits lock. Ask them to unlock it before anything can change.
  • Payroll sync. Once the period is synced to payroll, everything locks.
  • Your employer's retroactive-edit window, if they use one. Where it is on, an entry older than the number of days your employer set cannot be added, edited or deleted, and you see: "This action cannot be performed because the time entry is older than 30 days." The number in the message is your employer's setting rather than a fixed product rule, and many employers leave the restriction off entirely.
  • The pay run itself. A timesheet correction cannot fix a paycheck that has already been paid. Ask your manager or HR about correcting the pay through a special, off-cycle payroll instead.

DSP note: For Delivery Service Partner accounts the retroactive-edit restriction is switched on by default, with a 30-day threshold, so expect older entries to be blocked.

Ground rules for every correction

  • Be accurate and prompt. Every change is logged with who made it, when, from which source, and the old and new values. Your manager sees your notes.
  • A reason may be mandatory when you edit or delete an entry, depending on your company's settings.
  • Attest at the end of each shift. Checking the entry while the day is fresh turns a missed punch into a ten-second fix rather than a payroll problem.

If you leave the company

When your employer records your termination, UZIO clocks out any entry still running and approves every unapproved pay period automatically. Anything still wrong at that point can no longer be corrected on the timesheet, so raise corrections with your manager before your last day.

On the mobile app

Every correction on this page works in the UZIO mobile app as well as the web portal: adding an entry, editing or deleting one, adding notes, and responding to a manager's comment on an entry. Still stuck?

If the entry is locked, past your employer's edit window, or already paid, your manager or HR team owns the fix. Give them the date, the shift, the times you actually worked, and what the screen said if it blocked you.
